Pricing, Payments, and Refund Terms

Our pricing is clearly presented before any commitment is required. It reflects the professional support we provide, including administrative handling, document preparation, and guided assistance throughout your application process.

Unless expressly stated otherwise, our fees may include applicable government charges. Any relevant taxes are not included in the listed price and will be calculated and displayed at checkout prior to payment.

We accept payments via Visa and Mastercard. Other payment methods, such as American Express, Discover, PayPal, and bank transfers, are currently unavailable. Full payment is required before we commence any work on your request to ensure timely processing.

All payments are processed through secure and certified third-party providers. While we work with established and reputable platforms, their systems operate independently. To the extent permitted by applicable law, we do not accept responsibility for any payment-related matters, including transaction errors, declined payments, processing delays, or service disruptions.

Once work has started, our service fees are generally non-refundable. This includes situations where we have begun reviewing your application, preparing documentation, or initiating submission steps on your behalf. This is always subject to any rights you may have under applicable consumer protection laws.

If you withdraw your request before substantial work has been carried out, you may be eligible for a partial or full refund. Each request is assessed on a case-by-case basis, taking into account the stage and extent of the services provided.

For applicants located in the United Kingdom and the European Union, certain services may be subject to a statutory 14-day cancellation period. However, where you request immediate commencement of services and provide your consent, this right may no longer apply once the service has been fully performed, to the extent permitted by law.

Where required under applicable law, you may be entitled to a remedy if our services do not meet the required standard. This may include a refund or other appropriate form of compensation, depending on the circumstances.

Further details are set out in our Refund Policy, which forms part of these Terms and Conditions.

Recognising that each situation is different, we will thoughtfully consider your circumstances and respond appropriately in line with applicable legal standards.

Processing Times and Decisions

Processing times and application outcomes are determined entirely by relevant government authorities.

We do not influence application outcomes or guarantee approval.

Processing delays may occur due to factors such as application volumes, regulatory changes, security checks, or document verification carried out by the relevant authorities.

Scope of Responsibility

To the extent permitted by applicable law, our total liability in connection with the services we provide is limited to the amount paid by you for the specific service giving rise to the claim.

DocuTrack Global is not liable for any indirect, incidental, or consequential loss or damage. This includes, without limitation, loss of travel opportunities, loss of income, delays, missed flights, or any additional expenses arising from application outcomes or processing timeframes.

All decisions relating to visas and ETAs are made solely by the respective government authorities. As we do not control these decisions, we are not responsible for any refusals, delays, or changes to immigration or travel requirements.

Nothing in this section limits or affects any rights or remedies that cannot be lawfully excluded under applicable consumer protection laws.

Global Consumer Rights and Legal Standards
Australia - Consumer Guarantees

Australian law sets a clear benchmark for how services must be delivered. Under the Australian Consumer Law, businesses are required to provide services with due care and skill, ensure they are fit for purpose, and deliver them within a reasonable timeframe. These protections are designed to maintain trust and ensure that consumers receive services that meet acceptable standards.

If our services do not meet these expectations, you may be entitled to a remedy depending on the circumstances. This may include a correction, refund, or other appropriate outcome. We respect these rights and approach all concerns with fairness, transparency, and a commitment to resolving matters in accordance with applicable legal requirements.

United Kingdom & European Union - Transparency and Fair Practice

Consumer protection across the United Kingdom and European Union is supported by a combination of regulatory frameworks, including data protection laws such as the General Data Protection Regulation, as well as broader consumer legislation. These frameworks are designed to promote transparency, fairness in contractual relationships, and the responsible handling of personal information.

Where applicable, you may have the right to cancel certain services within 14 days without providing a reason. However, if you choose to proceed immediately and confirm your request, this right may no longer apply once the service has been fully delivered, to the extent permitted by law. We aim to operate in line with these principles by providing clear information and fair service practices.

Canada - Clarity and Accountability

In Canada, consumer protection is largely governed at the provincial level, supported by federal privacy obligations under the Personal Information Protection and Electronic Documents Act. Together, these frameworks promote transparency in pricing, responsible data handling, and fair treatment of consumers.

You may have the right to clear disclosure of all fees, including applicable taxes, as well as access to and correction of your personal information. We aim to present all costs upfront and manage your data responsibly, ensuring clarity at every stage of your interaction with us.

New Zealand - Fair Representation and Service Standards

New Zealand’s consumer protection laws, including the Consumer Guarantees Act 1993 and the Fair Trading Act 1986, set expectations for how services must be delivered and represented. These laws require businesses to act honestly, avoid misleading conduct, and provide services that meet reasonable standards of quality.

If these standards are not met, you may be entitled to a remedy, which could include repair, replacement, or a refund, depending on the circumstances. You are also protected from misleading or inaccurate representations about our services. We aim to deliver our services in a manner consistent with these legal expectations.

United States - State-Based Protections

In the United States, consumer protection and privacy requirements are shaped by a combination of federal and state laws, which may vary by location. Certain states, including California, provide additional protections relating to personal information and consumer rights, particularly regarding transparency and data handling.

Where applicable, you may have rights relating to access to your personal information, transparency in how it is used, and fair business practices. We aim to operate responsibly and in accordance with applicable legal requirements, while respecting the rights of individuals across different jurisdictions.

Recognising that each situation is different, we will thoughtfully consider your circumstances and respond appropriately in line with applicable legal standards.

Governing Law and Jurisdiction

These Terms are governed by the laws of New South Wales, Australia.

Any dispute arising out of or in connection with these Terms or your use of our services will be subject to the non-exclusive jurisdiction of the courts of New South Wales, Australia.

Legal Validity and Application of Terms

Nothing in these Terms is intended to limit or override any rights that cannot legally be excluded under applicable law.

If any part of these Terms is found to be invalid, unlawful, or unenforceable, it will be adjusted only to the extent necessary to make it enforceable, and the remaining provisions will continue in full force and effect.

Where required by applicable law, certain provisions may not apply or may apply differently depending on your location. In such cases, applicable local laws will prevail to the extent necessary.

Unforeseen Events Beyond Our Control

We are not liable for delays or interruptions caused by events beyond our reasonable control.

This may include government actions, regulatory changes, system failures, technical issues, natural disasters, public health events, labour disputes, or disruptions to communication or transport networks.

In such circumstances, we will take reasonable steps to resume our services as soon as practicable, to the extent permitted by applicable law.

Secure Payments via External Providers

To ensure secure and efficient processing, payments are handled through trusted third-party providers. When completing a transaction, you may be redirected to an external platform, and your payment will be governed by that provider’s terms and privacy policies.

While we select providers carefully, we do not control their systems. We do not accept responsibility for their performance, including any delays, declined transactions, or technical issues, to the extent permitted by applicable law.

If you encounter any issues, we encourage you to contact us so we can assist where appropriate. However, the resolution of such issues will ultimately depend on the provider’s processes.

Payment Details and Information Accuracy

Payment details are requested only after you have completed the required steps and accepted these Terms. All transactions are processed through secure third-party systems, and we do not store full card details or have direct access to sensitive financial information.

You are responsible for ensuring that all information provided is accurate and submitted through authorised channels.

We do not accept responsibility for delays or complications resulting from incorrect or incomplete information, to the extent permitted by applicable law.

All personal information you provide is handled in accordance with our Privacy Policy.

If you provide information on behalf of another person, you confirm that you have obtained their consent and that they understand how their information will be used. If the individual is under 18, you confirm that you are authorised to act on their behalf.

Complaints and Dispute Resolution

If you have any concerns or wish to raise a complaint, we encourage you to contact us directly so we can review the matter and work towards a fair and timely resolution.

If a resolution cannot be reached, the matter will be governed by the laws of New South Wales, Australia. By using our services, you agree to submit to the jurisdiction of the courts of New South Wales.
